Workspaces and access

Workspaces and templates

One workspace per engagement under a client organization. Templates for the Assessment, the Embed, and custom engagements pre-populate the weeks, sessions, deliverables, obligations, and document slots.

Roles

Owner, consultant, sponsor, engineer, observer, agent, and guest, assignable per workspace. An agent acting for the consultant signs the audit log as itself.

Client identities

Sponsors and engineers are invited by email and sign in by magic link; Google or Microsoft sign-in later.

Share links

Read-only access to one document, recording, or session page, with expiry and an optional passcode, every use audited.

Isolation

Tenant id on every row and every storage key, no cross-workspace queries, no global feeds.

Branding and themes

Vantalect by default, your logo per workspace, light and dark, WCAG 2.1 AA in both, mobile first.

Every meeting, kept

Sessions

The calendar

Every session from the template with date, time, duration, attendees, and the Zoom link; an ICS feed per person; reminders the day before and the hour before.

Recordings and transcripts

Zoom cloud recordings and transcripts pulled automatically after each session through the Zoom API and webhooks; manual upload as the fallback and for other platforms.

Reviewed summaries

The agent drafts the summary, the decisions, and the action items from the transcript; the consultant reviews and publishes; nothing generated is visible to the client before review.

Not in the room

A digest per session for the people who missed it: the summary, the decisions, the action items, and links into the transcript at the moments that matter.

Schedule that slides honestly

When a client obligation is missed, the schedule slides by the same number of business days and the slide is shown, so the measurement gate's evaluation is transparent.

Redaction

A transcript passage can be redacted before publication; the redaction is logged.

Read exactly as published

Documents and discussion

PubMark documents

The audit, the baseline report, the plan, the readouts, the measurement report, and the playbook, published as versions and rendered exactly as published, diagrams and callouts included.

Immutable versions

The current version is shown; prior versions remain readable; a text diff between versions.

Paragraph comments

Threads anchored to a paragraph, resolvable, with mentions and attachments.

Acceptance

The sponsor accepts a specific version; the name, role, time, and version hash are recorded on the document, and the deliverables checklist updates.

Threads everywhere

Discussion anchored to a session, a decision, a deliverable, a task, or the workspace itself; email on mention; a daily digest; Chirp mirroring for the consultant.

Slack and Teams

Outbound notifications into the client's own channel.

Decisions, tasks, and deliverables

The decisions log

Question, options, choice, rationale, who, when, and the anchor. Drafted from transcripts, published after review, supersedable, with a decisions-this-week section in the sponsor check-in.

Tasks and action items

Owner, due date, source, and status; each person's list across the workspace; CSV export to the client's tracker.

Obligations

The statement-of-work commitments tracked week by week: access by date, each engineer's four pairing hours, the sponsor's thirty minutes. Met, at risk, or missed.

The deliverables checklist

Six items for the Assessment and fourteen for the Embed, each linked to the artifact that satisfies it, with pending, delivered, and accepted states.

The measurement panel

Read-only connection to the client's Fulcrum installation: baseline, current factor, coverage, per-project breakdown, and the 3x gate with immutable snapshots at both readouts.

Repositories and the work

Links to the in-scope repositories now; read-only pull-request, guidance-file, and gate status through GitHub or GitLab later.

Kept, searchable, exported

Files, feed, search, export

Files

Per-workspace storage in a private, encrypted bucket; every download streams through the API and is audited; virus scanning on upload.

The activity feed

A live feed per workspace over SSE: publishes, comments, decisions, tasks, sessions, recordings, acceptances.

Notifications

In the app and by email, with per-person preferences and a daily digest at a chosen hour in the workspace's time zone.

Search

Full-text search across documents, transcripts, threads, decisions, and tasks, filtered by type, week, and person.

Ask the workspace

Grounded answers with citations across the whole engagement.

The export

One archive of every document as PubMark and PDF, every transcript, summary, decision, task, obligation, acceptance, the audit log, and the recordings, with a manifest and SHA-256 hashes. Generated at the close and on demand.

Webhooks and API keys

Signed, retried webhooks per workspace; scoped API keys, rotatable and revocable, hashed at rest.

Audit and retention

Every view, download, publish, acceptance, decision, membership change, share-link use, and export logged with its actor; retention kept until the client asks for deletion.
